We are seeking an Administration/Production Assistant to work directly with one of the Owner’s at Heritage Home Loans. The right candidate will have prior experience in assisting Management, Executives, or Business Owners. You are proficient in Microsoft products (specifically word, adobe and excel), strong written and spoken communication skills, and a positive attitude in stressful situations. We prefer the right candidate to have previous mortgage experience, however it is not a requirement as we will train the right individual.

Current Duties at a Minimum, written by current Assistant:

Keeping the Owner on task, organized and informed

Following up on customers, both in the process of a mortgage and future customers

Attending weekly meetings with Processors and following up with “Needs lists” in a timely fashion

Keeping customer’s on track with documentation requested and ensuring their loans close on time

Creating and maintain healthy relationships with our referral partners, they will eventually come directly to you for every question they have and know you will get it done for them

Time keeper of the Owner’s schedule, gate keeper to the phone calls and his time

Monitor and follow up on emails directed to the owner, cc’ing him on every email sent

Weekly Loan Status Reports

The Owner’s primary task is to focus on the profitability of the business through refinement of systems, structure, vision and accountability, you will help him to grow the company in all these areas

You will delegate the work load each day and supply and go over a task list with the owner, synchronize calendar’s, follow up on emails and review each client file every morning, creating a daily checklist for the owner helping him and you stay on task
